Job Description

Position Overview:
We are looking for a reliable and organized Administrative Assistant to provide administrative and scheduling support to our home care team. In this role, you will assist the Scheduling Coordinator with maintaining caregiver schedules, communicating updates to clients and staff, and ensuring records remain accurate and up to date. You will also handle general office duties such as answering phones, filing, preparing documents, and supporting caregiver onboarding. This position plays a key role in keeping the office running smoothly and making sure client and caregiver needs are met in a timely, professional, and compassionate manner. The ideal candidate is detail-oriented, adaptable, and an excellent communicator who thrives in a fast-paced, team-focused environment.

Schedule:
Part-time, Monday through Friday, approximately 20–25 hours per week. This is an in-person position at our office in West Springfield — it is not a remote or work-from-home role.

Responsibilities:

• Communicate with caregivers and clients regarding schedule changes or updates.
• Support daily office operations, including filing, answering phones, and managing documents.
• Help onboard new caregivers by preparing documents and assisting with orientation tasks.
• Maintain up-to-date client and caregiver records in scheduling and database systems.
• Coordinate with care team to ensure all shifts are covered and last-minute needs are addressed.
• Provide general support to office management as needed.

Qualifications:

• Strong organizational and time management skills.
• Excellent verbal and written communication abilities.
• Proficiency in or ability to learn scheduling & client management software (Generations) and Microsoft Office Suite.
• Ability to handle sensitive information with discretion and professionalism.
• Problem-solving skills and the ability to adapt to changing circumstances.
• High school diploma or equivalent required.
